Privacy Policy

Central Florida Vocal Arts ("CFVA," "we," "us," or "our") is committed to protecting the privacy of our students, families, and teachers. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our lesson management platform at studio.centralfloridavocalarts.org and receive communications from us, including SMS text messages.

By registering with CFVA or using our platform, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our services.

1. Information We Collect

We collect the following categories of information:

Account & Registration Information

  • Full name, email address, and password (for account holders)
  • Student name, age, program enrollment, and school affiliation
  • Family contact name and phone number
  • Teacher name, phone number, and professional information

Scheduling & Lesson Data

  • Lesson dates, times, locations, and program types (Voice, Piano, Guitar, etc.)
  • Attendance records, check-in status, and cancellation history
  • Makeup credits and scheduling activity

Payment Information

  • Payment method details are processed securely through Stripe. CFVA does not store full card numbers.
  • Transaction history and registration fee records

Communications Data

  • SMS message logs (delivery status, timestamps)
  • Email communication records
  • Opt-in and opt-out preferences

Technical Data

  • IP address, browser type, and device information
  • Usage logs and session data for platform security

2. SMS Text Message Notifications

How You Consent to SMS

Family contacts and teachers provide their mobile phone number during enrollment or onboarding at studio.centralfloridavocalarts.org. By providing your phone number and checking the consent box, you expressly agree to receive SMS text messages from CFVA regarding:

  • Lesson scheduling confirmations
  • Lesson reminders (sent the day before a scheduled lesson)
  • Lesson cancellations and reschedule notifications
  • Program updates and important announcements

Message Frequency

Message frequency varies based on your lesson schedule. Families and teachers typically receive 1–3 messages per scheduled lesson (confirmation, reminder, and any changes).

Message & Data Rates

Message and data rates may apply depending on your mobile carrier plan. CFVA does not charge for SMS messages.

How to Opt Out

You may opt out of CFVA SMS notifications at any time using any of the following methods:

After opting out, you will receive a one-time confirmation message. You will no longer receive SMS notifications unless you re-enroll.

SMS Provider

CFVA uses Twilio to deliver SMS messages. Your phone number is shared with Twilio solely for message delivery purposes and is governed by Twilio's privacy policy.

3. How We Use Your Information

  • Schedule, confirm, and manage music lessons and programs
  • Send SMS and email notifications about your lessons
  • Process payments and maintain billing records
  • Manage teacher onboarding, availability, and payroll
  • Track attendance, credits, and makeup lesson eligibility
  • Communicate program updates and important announcements
  • Maintain platform security and prevent fraud
  • Comply with legal obligations

4. How We Share Your Information

We do not sell your personal information. We may share your information with:

Service ProvidersTwilio (SMS delivery), Stripe (payment processing), Supabase (database hosting), and email delivery services — each bound by data processing agreements.
TeachersStudent names, lesson details, and contact information necessary to conduct lessons.
SchoolsEnrollment and scheduling information for school-based programs where applicable.
Legal RequirementsWhen required by law, court order, or to protect the rights and safety of CFVA, our staff, or students.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Lesson records and payment history are retained for a minimum of 3 years for business and legal compliance purposes. SMS logs are retained for up to 12 months. You may request deletion of your account data by contacting us (see Section 8).

6. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS/HTTPS), secure database hosting via Supabase with row-level security policies, and access controls limiting data to authorized personnel. While we take reasonable precautions, no method of transmission over the internet is 100% secure.

7. Children's Privacy

CFVA serves students of all ages, including minors. We do not knowingly collect personal information directly from children under 13. All account registration, SMS consent, and payment authorization is completed by a parent or legal guardian on behalf of minor students. If you believe we have inadvertently collected information from a child without parental consent, please contact us immediately.

8. Your Rights & Choices

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your account and associated data
  • Opt out of SMS notifications at any time (reply STOP)
  • Opt out of marketing emails

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page and notify active users via email or platform notification. Continued use of our services after changes constitutes acceptance of the updated policy.
