These Terms and Conditions ("Terms") govern your use of the Central Florida Vocal Arts lesson management platform at studio.centralfloridavocalarts.org and your participation in CFVA programs. By registering, enrolling a student, or using our platform, you agree to be bound by these Terms. Please read them carefully.
These Terms apply to families (parents/guardians), students, and teachers. References to "you" apply to the applicable party based on context.
1. Programs & Services
CFVA offers private and group music instruction including, but not limited to: Voice, Piano, Guitar, and other instrumental programs. Programs are offered at CFVA studio locations, partner school sites, and virtually via Microsoft Teams.
CFVA reserves the right to modify program offerings, locations, teachers, and schedules at any time with reasonable notice to enrolled families.
2. Enrollment & Registration
Enrollment is completed through the CFVA platform. A non-refundable registration fee may be required at the time of enrollment for new students or program changes.
By enrolling, the parent or guardian confirms they are authorized to consent on behalf of the student and that all information provided is accurate.
CFVA may decline or cancel enrollment at its discretion, including for non-payment, policy violations, or program capacity.
3. SMS Notification Terms
By providing your mobile phone number and consenting during registration or onboarding, you agree to receive automated SMS text messages from Central Florida Vocal Arts (CFVA) sent via Twilio. These messages include:
- Lesson scheduling confirmations
- Lesson reminders (sent the day before your scheduled lesson)
- Cancellation and reschedule notifications
- Program updates and important announcements
Consent to receive SMS messages is not a condition of enrollment. Opting out of SMS may result in missed lesson notifications; CFVA is not responsible for missed lessons due to opted-out notifications.
You are responsible for ensuring the phone number on file is accurate and capable of receiving SMS. Notify CFVA promptly of any phone number changes.
4. Lesson Scheduling & Attendance
Lessons are scheduled through the CFVA platform by administrators. Families will receive SMS and/or email confirmation of all scheduled lessons.
Students are expected to attend all scheduled lessons. Consistent absences without notice may result in loss of lesson slot or program removal at CFVA's discretion.
Virtual lessons are conducted via Microsoft Teams. Families are responsible for having a working device and internet connection. Technical difficulties on the student's end do not entitle the student to a makeup lesson.
5. Cancellations & Makeup Lessons
Student Cancellations
Cancellations with at least 24 hours' notice may be eligible for a makeup credit at CFVA's discretion. Late cancellations (less than 24 hours) or no-shows are generally not eligible for makeup credits.
CFVA / Teacher Cancellations
If CFVA or a teacher cancels a lesson, the student will receive a makeup credit or rescheduled lesson at no additional charge.
Makeup Credits
Makeup credits are non-transferable, have no cash value, and expire according to CFVA's current makeup credit policy. Credits must be used within the same program enrollment period unless otherwise approved by CFVA administration.
6. Payments & Fees
All payments are processed securely through Stripe. By providing payment information, you authorize CFVA to charge applicable fees.
Registration fees are non-refundable. Tuition and program fees are subject to CFVA's current fee schedule, which may be updated with reasonable notice.
Accounts with outstanding balances may have lesson access suspended until payment is received.
Disputes regarding charges must be submitted to CFVA in writing within 30 days of the charge date.
7. Teacher Terms
Teachers using the CFVA platform agree to maintain accurate availability, complete required onboarding steps (including W-9 and direct deposit setup), and adhere to CFVA's professional standards and handbook.
Teachers receive lesson notifications via SMS and are responsible for maintaining an accurate phone number on file. Teachers may opt out of SMS by replying STOP, but are responsible for monitoring the platform for scheduling updates.
Teacher compensation is processed through CFVA's payroll system per the terms of the teacher's agreement with CFVA.
8. Platform Use & Account Security
You are responsible for maintaining the confidentiality of your account credentials. Notify CFVA immediately of any unauthorized account access.
The CFVA platform is intended solely for authorized users (enrolled families, active teachers, and CFVA administrators). Unauthorized access, data scraping, or misuse of the platform is prohibited.
CFVA reserves the right to suspend or terminate accounts that violate these Terms.
9. Limitation of Liability
To the fullest extent permitted by law, CFVA shall not be liable for any indirect, incidental, or consequential damages arising from your use of our services or platform, including missed lessons due to SMS opt-out, technical failures, or scheduling errors. CFVA's total liability for any claim shall not exceed the amount paid by you for the relevant program in the 30 days preceding the claim.
10. Governing Law
These Terms are governed by the laws of the State of Florida. Any disputes arising under these Terms shall be resolved in the courts of Orange County, Florida, and you consent to personal jurisdiction in such courts.
11. Changes to These Terms
CFVA may update these Terms at any time. We will notify active users of material changes via email or platform notification. Continued use of our services after changes constitutes acceptance of the updated Terms. The current version is always available at studio.centralfloridavocalarts.org/terms.
